Our team was proud to assist Yale Urology once again with their second annual Yale Urology Symposium. This two-day event, held at the Yale Club in Manhattan on November 1st and 2nd, brought together urologists who are interested in learning about the cutting-edge issues in urology, specifically in a debate format. Sessions focused on controversial issues in clinical urology, pediatric urology, urologic oncology, reconstruction, and sexual and reproductive medicine and surgery.
The symposium provided practical and envelope-pushing presentations by Yale School of Medicine Department of Urology Staff, and keynote addresses by guest speakers Chester Koh, MD, Curtis Pettaway, MD, Jill Buckley, MD, and Landon Trost, MD.
Leading up to the conference, YC&E assisted with planning, handling accommodations and travel needs for speakers, signage distribution, communication with sponsors, catering, and organizing a VIP Dinner. Our registration team built out a comprehensive event registration site using Cvent.
During the conference, our team managed registration and check-in, room set-ups, directing sponsors, and oversaw the AV team to ensure presentations ran smoothly during the debates. Our goal was to facilitate seamless debates and provide support to the Urology Department’s team.
When asked about the most important considerations for offsite event management, our Event Coordinator Natalia King stated that “One thing I’ve learned about planning an off-campus event is the importance of building strong relationships with vendors and staff, especially when you’re unfamiliar with the space. Clear communication and setting expectations early on help to mitigate last-minute surprises. I’d also suggest treating the on-site staff like part of your team. When you get there, be sure to greet everyone and work together to establish a game plan!”
