Senior Administrative Assistant

Reporting to Executive Director of Yale Conferences and Events, the Senior Administrative Assistant will hold a pivotal role for YC&E and is responsible for providing a wide range of administrative and financial support and oversight to the department in a fast-paced, high volume program and event services department. The position will be aware of daily events supported by YC&E, will provide direct support to the YC&E Leadership Team, and coordinate required office services with various other University departments. This position serves as a central function for assisting with all resources and providing general department function information to staff, student employees and seasonal staff. Program Operations Coordinator

Reporting to the Assistant Director of Program Operations, the Program Operations Coordinator (POC) shall be responsible for the creation and execution of a range of department conferences, events and operational projects. As part of the YC&E program team, the POC is responsible for short and long-term planning and execution of academic year and summer programs. Seasonal Positions for 2023

Summer Operations

  • Housing Administrator: The Temporary Housing Administrator (HA) will manage a broad range of department projects and housing IT endeavors. May co-lead short and long-term planning efforts for Yale College and Yale Conferences & Events with occupancy management, data integrity, room draw efforts, as well as provide operational and logistical support.   • Operations Lead: The Operations Lead (OL) will report to the Office Manager (OM) and work closely with a team of 5 – 7 Operations Leads and other seasonal and full-time staff to coordinate all residential aspects of participants’ arrivals, stays and departures. This includes residential assignments, facility coordination, custodial services, meal services, billing reports and other logistical needs as necessary, utilizing YC&E’s StarRez database.   • Operations Coordinator: The Operations Coordinator (OC) will report to the Office Manager (OM). This position will also work closely with a team of OC’s and other seasonal and full-time staff to facilitate the arrival and departure of program participants and staff. The OC serves as a knowledgeable professional and primary asset in the functioning and operation of a 24-hour office. Individuals will be asked to know and understand the workings of colleges and be proficient and adept at addressing daily issues.   • Hospitality Coordinator: The Hospitality Coordinator (HC) will report to the Office Manager (OM). This position will also work closely with a team of HC’s and other seasonal and full-time staff to facilitate the arrival and departure of program participants and staff. The HC will be expected to provide an elevated level of customer service to clients and participants while demonstrating responsiveness and professionalism. The HC serves as a knowledgeable professional and primary asset in the daily operation of a 24-hour office.   • Resource Coordinator: The Resource Coordinator (RC) will report to the Office Manager (OM). This position will also work closely with the Residential Operations Manager and other seasonal and full-time staff to facilitate the arrival and departure of program participants and staff. This includes residential assignments, facility coordination, custodial services, billing reports and other logistical needs as necessary, utilizing YC&E’s StarRez database, Salesforce, and Trello. The RC will coordinate the organization of storage and transportation & distribution of goods to ensure all orders are fulfilled. The RC will work with internal and external service providers.
