Conferences & Events Intern

As a member of the Yale Conferences & Events (YC&E) department and reporting to a YC&E Staff member, a Conferences & Events Intern (C&E Intern) is responsible for supporting a wide range of department conferences, events, and projects both virtually and in person. As support for the YC&E team, a Conferences & Events Intern contributes to short- and long-term planning, including coordinating all aspects of event management and logistical operations. C&E Interns assist the team with creating proposals and budgets along with updating and finalizing invoices. Logistics planning tasks can include housing, meeting space, food and beverage, transportation, online registration, hotel rates, audio and visual services, and custodial. 

Operations Assistant

Reporting to the Office Manager, the Operations Assistant (OA) will work closely with a team of Operations Assistants and other seasonal and full-time staff to coordinate all residential aspects of participants’ arrivals, stays, and departures. This includes residential assignments, facility coordination, custodial services, billing reports, and other logistical needs as necessary, utilizing the StarRez Housing database. The OA is responsible for supporting the housing team in administrative support of data entry, customer service, and StarRez management for more than 6500 academic year students, 10,000 summer guests, and over 5000 beds in the housing software.

Assistant Office Manager

This position will report to the Office Manager and, as a member of the Operations Team, work closely with YC&E staff to ensure successful implementation of all participants’ on-site operation needs – including, but not limited to, residential assignments, facility coordination, custodial services, meal services, and classroom assignments. The Assistant Office Manager (AOM) is primarily responsible for assisting with oversight of the YC&E Summer Office and management of the summer staff. This includes managing the front desk and the hospitality team, owning the shared email and Salesforce work, running daily meetings, and mediating staff conflict. The AOM will assign tasks to staff daily, assist with scheduling and resolving schedule requests, and maintain an organized and professional office. This position operates as the central communication link between the YC&E staff, University departments, and other summer program constituents.

Operations Lead

The Operations Lead (OL) will report to the Office Manager (OM) and work closely with a team of 5 – 7 Operations Leads and other seasonal and full-time staff to coordinate all residential aspects of participants’ arrivals, stays, and departures. This includes residential assignments, facility coordination, custodial services, meal services, billing reports, and other logistical needs as necessary, utilizing Yale Housing’s StarRez database. The Operations Lead is responsible for the successful operation of multiple programs in many residential colleges and will assist with staff management. The role also has financial responsibility with revenue implications for the department. The OL will assist with the opening, daily operation, and shutdown of residential colleges utilized by Yale Conferences & Events. The OLs will be on a rotating on-call schedule in case of any after-hour issues. This position operates in a public relations capacity by greeting the group organizers (clients) and their participants and by courteously and efficiently aiding them as needed. The OL also works very closely with important University departments such as Yale Custodial, Yale Facilities, and with other various university constituents. Live-in is required for OLs unless you live no further than 15 minutes away from campus.

Operations Coordinator

The Operations Coordinator (OC) will report to the Office Manager (OM). This position will work closely with a team of OCs and other seasonal and full-time staff to facilitate the arrival and departure of program participants and staff. The OC serves as a knowledgeable professional and primary asset in the functioning and operation of a 24-hour office. Individuals will be asked to know and understand the workings of colleges and be proficient and adept at addressing daily issues. This position operates in the capacity of greeting the group organizers and their participants at check-ins/outs and courteously and efficiently aiding them as necessary while in residence. In addition, this individual will function as an asset in the opening, daily operation, and shutdown of one or more building(s) utilized by Yale Housing.

Hospitality Coordinator

The Hospitality Coordinator (HC) will report to the Office Manager (OM). This position will also work closely with a team of HCs and other seasonal and full-time staff to facilitate the arrival and departure of program participants and staff. The HC will be expected to provide an elevated level of customer service to clients and participants while demonstrating responsiveness and professionalism. The HC serves as a knowledgeable professional and primary asset in the daily operation of a 24-hour office. Individuals will be asked to understand the workings of the Yale Housing front desk operations and utilize the Salesforce, StarRez, and Trello management systems. This position operates in a public relations capacity by greeting the group organizers and their participants and by courteously and efficiently aiding them as necessary while in residence. A hospitality coordinator will be expected to cultivate and develop relationships with internal and external service providers, serve as a liaison between summer operations and other university departments and will staff the 24/7 housing office.

Resource Coordinator

The Resource Coordinator (RC) will report to the Office Manager (OM). This position will also work closely with the Residential Operations Manager and other seasonal and full-time staff to facilitate the arrival and departure of program participants and staff. This includes residential assignments, facility coordination, custodial services, billing reports, and other logistical needs as necessary, utilizing Housing’s StarRez database, Salesforce, and Trello. The RC will coordinate the organization of storage and transportation & distribution of goods to ensure all orders are fulfilled. The RC will work with internal and external service providers. The RC will work with clients to ensure they have a positive experience before, during, and after their program. The RC also works very closely with important University departments such as Yale Transportation Receiving and Storage (TR&S), Yale Facilities and with various other university constituents.
